FemTech Hackathon – Participation Terms

1. General
1.1. Participation in the FemTech Hackathon (“Event”) is open to people shaping tech, design, and innovation with a focus on retail (FMCG), healthcare, finance/insurance, and sports. The Event welcomes engineers, developers, creatives, and students from diverse disciplines. Cross-functional collaboration is encouraged. We’re looking for individuals with a vision to build, lead, and redefine the future. By registration and/or participating, the participant (“Participant”) agrees to these terms and conditions.
1.2. The Event is organized by Clusity VZW, with registered office at Veldkant 33A, 2550 Kontich, Belgium, and company number BE 0746.976.907 (“Organisation”) in collaboration with its affiliates, suppliers, sponsors and partners (“Partners”). The Event will take place on 28 November 2025 from 9:00 AM to 8:00 PM at BeCentral Brussels.
2. Registration and Participation
2.1. Registration is done via the official online form. Registrations open several weeks before the Event and close no later than 21 November 2025 - 17h, or earlier if the maximum number of Participants is reached.
2.2. Participation is 25 EUR including VAT and includes lunch and dinner on the day of the Event. Vegetarian, vegan and gluten-free options will be available, and meals will be clearly labeled on the day so Participants can choose accordingly.
2.3. Participants register individually for a category focused on FemTech (retail (FMCG), Healthcare, Finance/Insurance & Sports) and based on an existing idea or a pitch proposed by the Organisation and/or its Partners. The Organisation will make the teams based on skills (technical knowledge, business know-how, creativity, ..). Each Participant may only join one team. Participation is subject to availability and may be declined if the maximum number of Participants is reached.
3. Format and Eligibility
3.1. The Event is designed to ideate, concept, prototype, and pitch innovations that fall within business concepts of FemTech.
3.2. No prior business idea is required, but Participants may register based on an existing idea or may select from predefined categories during registration and receive an idea or pitch proposed by the Organisation or its Partners (“Challenge”).
4. Conduct and Safety
4.1. The Event is committed to fostering an inclusive and respectful environment. Participants of all backgrounds, identities, and disciplines are welcome. Participants must behave respectfully and professionally toward other Participants, Partners, the Organisation, its staff, and suppliers.
4.2. The Organisation may exclude any Participant for inappropriate behavior or failure to comply with safety regulations. Discrimination, harassment, or aggressive behavior will not be tolerated and may result in immediate removal from the Event.
4.3. Participants must comply with the venue’s house rules and follow the Organisation’s instructions.
4.4. To ensure fairness, transparency, and the integrity of the Event, all Participants, jury members, and Partners must avoid situations that may give rise to a conflict of interest. This implies that a conflict of interest arises when an individual’s personal, professional, or financial interests may compromise—or appear to compromise—their impartiality, judgment, or actions in relation to the Event. Any person involved in the Event who identifies a potential or actual conflict of interest must disclose it promptly to the Organisation. This includes, but is not limited to:
Jury members evaluating projects submitted by Participants or teams they have a prior relationship with (e.g. employment, mentorship, investment).
Partners interacting with Participants or teams working on challenges they have proposed, especially if commercial interests are involved.
Participants who are affiliated with multiple teams or organizations that may compete or collaborate during the Event.
The Organisation reserves the right to take appropriate measures to mitigate conflicts, including: Replacing jury members in specific evaluations, reassigning challenges or teams, restricting access to sensitive information. Failure to disclose or appropriately manage a conflict of interest may result in exclusion from the Event or disqualification from aw ards, at the sole discretion of the Organisation.
5. Responsibility
5.1. Participation is at the Participant’s own risk. Participants are responsible for bringing their own laptop and charger.
5.2. To the extent permitted by law, the Organisation, its staff, partners, and sponsors are not liable for any damage, loss, or injury of any kind arising from participation in the Event. This includes, but is not limited to: loss, theft, or damage to personal property; damage to hardware, software, or data; physical injury or health issues; consequential damages or lost profits. Unless such damage results from intent or gross negligence by the Organisation.
5.3. If liability is nevertheless established, the Organisation’s total liability is limited to a maximum of €500 per Participant per incident, regardless of the legal basis.
6. Processing of Personal Data, Including Photos and Videos
By registering, Participants consent to the processing of their personal data as described in the Organisation’s privacy policy. Photos and videos may be taken during the Event for use on the website, social media, and promotional purposes. By participating, the Participant agrees to such use.
7. Pitching and Prizes
A jury of industry experts will evaluate pitches based on potential, innovation, impact, feasibility and competence of the team. Winning teams per category receive a price and get access to: follow-up with investors, business & financial planning guidance (with Highher, Rebels & Geeks)r , media spotlight & interviews, and Partners may offer additional awards or opportunities at their discretion.
8. Intellectual Property
8.1. Innovation thrives on collaboration, and the FemTech Hackathon is designed to spark ideas from diverse minds—Participants, Organisation and Partners alike. To ensure clarity and fairness, we recognize that intellectual property may originate from different sources and under varying conditions. These terms distinguish between three scenarios of idea ownership and define how rights are allocated and used. The provisions aim to protect creative contributions while enabling responsible use, visibility, and potential development beyond the Event.
8.2. Idea submitted by the Participant: All ideas, concepts, prototypes, and materials created independently by Participants prior to the Event remain their property. However, by participating, the Participant grants the Organisation and its Partners a non-exclusive, worldwide, royalty-free license to use, reproduce, promote, and publicly showcase such materials for communication, promotional, and commercial purposes related to the Event and its mission.
Regarding all ideas, concepts, software, designs, and other materials developed by Participants during the Event—whether individually or collaboratively—shall be deemed the full and irrevocable property of the Organisation from the moment of creation. Participants hereby assign all associated intellectual property rights, including but not limited to copyrights, database rights, design rights, and software rights, to the Organisation without limitation in time, territory, or form of use. This assignment is granted free of charge and includes the Organisation’s unrestricted right, along with its affiliates and Partners, to use, adapt, commercialize, publish, and distribute the materials without further consent, attribution, or compensation to the Participant. Participants confirm that their contributions do not infringe upon third-party rights and agree to fully indemnify the Organisation and Partner(s) against any claims, damages, or liabilities arising from such infringement. Participants retain a non-exclusive, non-transferable, and free right to use their own creations as developed by Participants during the Event solely for personal, commercial or educational purposes, provided this does not harm the Organisation’s commercial or public interests. Participants confirm that their contributions do not infringe upon third-party rights and agree to fully indemnify the Organisation and Partner(s) against any claims, damages, or liabilities arising from such infringement.
8.3. Challenge formulated by Clusity: Where Participants work on a challenge defined by Clusity, all ideas, concepts, software, designs, and other materials developed by Participants during the Event—whether individually or collaboratively—shall be deemed the full and irrevocable property of the Organisation from the moment of creation. Participants hereby assign all associated intellectual property rights, including but not limited to copyrights, database rights, design rights, and software rights, to the Organisation without limitation in time, territory, or form of use. This assignment is granted free of charge and includes the Organisation’s unrestricted right, along with its affiliates and Partners, to use, adapt, commercialize, publish, and distribute the materials without further consent, attribution, or compensation to the Participant. This implies that the ideas, concepts and other materials developed during the Event may be used by the Organisation, affiliates or its Partners for further development, commercialization, publication, or strategic purposes. Participants retain a non-exclusive, non-transferable, and free right to use their own creations solely for personal, commercial or educational purposes, provided this does not harm the Organisation’s commercial or public interests. The Organisation is not obliged to credit Participants unless explicitly agreed otherwise. Participants confirm that their contributions do not infringe upon third-party rights and agree to fully indemnify the Organisation and Partner(s) against any claims, damages, or liabilities arising from such infringement.
8.4. Challenge formulated by a Partner: Where Participants work on a challenge proposed by a Partner, all ideas, concepts, software, designs, and other materials developed by Participants during the Event—whether individually or collaboratively—shall be deemed the full and irrevocable property of the Partner and the Organisation from the moment of creation. Participants hereby assign all associated intellectual property rights, including but not limited to copyrights, database rights, design rights, and software rights, to the Organisation and Partner without limitation in time, territory, or form of use. This assignment is granted free of charge and includes the Partner’s and Organisation’s unrestricted right, along with its affiliates, to use, adapt, commercialize, publish, and distribute the materials without further consent, attribution, or compensation to the Participant. This implies that the ideas, concepts and other materials developed during the Event may be used by the Organisation, affiliates or its Partners for further development, commercialization, publication, or strategic purposes. Participants retain a non-exclusive, non-transferable, and free right to use their own creations solely for personal or educational purposes, provided this does not harm the Organisation’s or the Partners commercial or public interests. The Partner, nor the Organisation is not obliged to credit Participants unless explicitly agreed otherwise. Participants confirm that their contributions do not infringe upon third-party rights and agree to fully indemnify the Organisation and Partner(s) against any claims, damages, or liabilities arising from such infringement.
8.5. If a Partner or the Organisation provides confidential data or proprietary materials as part of a Challenge, Participants may be required to sign a non-disclosure agreement (NDA). In any case Participants agree not to disclose or reuse sponsor-provided information outside the scope of the Event.
8.6. Participants may only use data, software, and APIs provided by the Organisation or ow software insofar legally accessible (such as Canva, video software, database tools, coding tool, …). They declare that their submission does not infringe third-party rights such as copyrights, patents, database rights, or trade secrets. Attempts to access or manipulate external systems or networks without permission will result in immediate exclusion.
9. Cancellation and Changes
The Organisation reserves the right to cancel the Event or make changes to the program, location, or schedule. In case of cancellation, registered Participants will be informed in a timely manner. The Organisation is not liable for any delay, change, or cancellation due to force majeure, including (but not limited to) pandemics, government measures, fire, strikes, power outages, or other unforeseen circumstances beyond the Organisation’s reasonable control such as too few registrations, absence of partners or organization due to illness, …).
10. Governing Law
These terms are governed by Belgian law. Any disputes will first be attempted to resolve amicably; failing that, the competent court in Antwerp shall have jurisdiction.
